We use the information we collect strictly to deliver services, manage client accounts, and fulfill operational obligations:


  • Service Execution: To collect physical files, perform prep work and high-speed OCR scanning, index files, and upload scanned records directly to your designated secure cloud folder (e.g., Google Drive).

  • On-Demand Access: To process and send digital copies when emergency access is required while physical records are off-site.

  • Communication & Invoicing: To coordinate bi-weekly pickup/delivery schedules, send monthly invoices on the 1st of each month, and provide client support.

  • Legal & Administrative Operations: To maintain service contracts, keep transaction records, and ensure site security.



3. Confidentiality & Chain of Custody


We recognize the highly sensitive nature of your physical documents and business records.


  • Strict Single-Operator Custody: All document collection, transport, prep, scanning, folder indexing, and physical return are handled personally and exclusively by Taylor Burns. No temp workers, unvetted personnel, or third-party subcontractors will ever access or handle your files.

  • Non-Disclosure Commitment: All client documents, financial records, trade secrets, and personal information remain strictly confidential. We do not sell, rent, trade, or share your information or scanned records with third parties or advertisers under any circumstances.



4. Cloud Storage & Third-Party Platforms


To provide seamlessly integrated digital archiving and online scheduling, we utilize trusted third-party service providers:


  • Cloud Storage Destinations: Digitized records are uploaded directly into the Client’s chosen secure cloud folder (e.g., Google Drive). Digital files stored in your cloud provider are subject to your account's privacy and access settings.

  • Third-Party Tools & Forms: We utilize embedded form software, scheduling tools, and analytics platforms (e.g., Tally, Calendly, Google Analytics) to process quiz responses, capture contact details, and manage appointments. These platforms handle data in accordance with their respective privacy policies.

  • Payment Processing: Invoices are settled directly via direct bank transfers or Zelle. We do not collect or store sensitive credit card or bank account credentials on our website servers.



5. Physical & Digital Security Safeguards

  • Return of Physical Files: All physical files remain the exclusive property of the Client and are safely returned in original condition during drop-off rotations or immediately upon contract termination.



6. Data Retention & Local Data Wiping


  • Physical & Digital Client Records: Scanned records are processed locally only for the time necessary to perform indexing and cloud upload. Temporary local processing files cached on hardware are routinely wiped following completed upload and expiration of the 7-day inspection window.

  • Administrative Records: Contact details, invoices, and service agreements are retained as necessary to comply with accounting, legal, and tax obligations.



7. Your Rights & Choices


You have the right to:


  • Access, update, or request the deletion of your personal contact information stored in our administrative records.

  • Request the immediate return of all physical files in our possession in accordance with the 14-day written notice provision in our service agreement.

  • Disable non-essential website cookies through your web browser settings.
